Cold Open is a three-person review desk in Cardiff, Wales. This page explains in plain terms what happens to information when you read the site or write to us. It is short because the site does very little: there is no advertising network, no analytics service, no social embed, and no tracking pixel anywhere in these pages.

1. Who is responsible

The data controller is Cold Open, an unincorporated editorial partnership between three individuals, reachable at Tramshed Tech, Unit D, Pendyris Street, Cardiff CF11 6BH, United Kingdom, or by email at [email protected]. Because of our size we are not required to appoint a data protection officer, so correspondence on these matters is handled by the editor.

2. What the site collects by itself

Nothing that identifies you. These pages are static files. There is no account system, no comment engine, no newsletter, and no third-party script of any kind. All fonts, icons, stylesheets and images are served from this domain, which means no outside company learns that you visited by virtue of a font request or a hosted library.

The site does write two values into your browser's local storage. Neither is a cookie in the technical sense, neither is transmitted anywhere, and both can be removed at any time from the cookie policy page or by clearing site data in your browser.

Server logs

Our hosting provider records ordinary access logs, as every web server does: the requesting IP address, the time of the request, the path requested, and the user agent string. These logs exist for security and diagnostics, are not used to build any profile of a reader, are never combined with the contents of messages you send us, and are discarded by the provider on a rolling basis of no more than thirty days.

3. What we collect when you write to us

The form on the Send Word page is, in this published version of the site, a demonstration: it validates your entries inside your own browser and transmits nothing. Where a working version is operated, the following applies.

• The name or initials you give us, so that a reply can be addressed to somebody.
• Your email address, used once to answer and never added to any list.
• The topic you select and the text of your note, which is the substance of the correspondence.

The lawful basis is legitimate interest under Article 6(1)(f) of the UK GDPR: you have written to an editorial desk asking for a response, and answering you is the only purpose for which the information is used. If your note becomes the basis for a published correction, we will attribute it with initials only, and only after you have ticked the box on the form confirming you expect that.

4. How long anything is kept

Messages sit in a single mailbox for twelve months and are then deleted. Where a note has produced a correction to a log, the correction itself remains published indefinitely as part of the editorial record, but it carries initials rather than a full name and never an email address. Server logs are retained by the provider for up to thirty days. Local storage values live on your own device until you or your browser remove them.

5. Who else sees it

The three people at the desk, and nobody else. We do not sell, rent, share, or trade correspondence. We use no customer relationship platform, no mailing service, and no cloud form processor. Our hosting provider necessarily processes the traffic that reaches the site and acts as a processor under a standard agreement; it has no access to the mailbox.

We would disclose material only where a UK court or a lawful authority compelled us to, and we would tell you that this had happened unless prohibited from doing so.

6. Transfers outside the United Kingdom

Our hosting and our mailbox are both located inside the United Kingdom or the European Economic Area. No routine transfer of personal data to a third country takes place. If that ever changes, this section will be rewritten before the change is made rather than afterwards.

7. Your rights

If you are in the United Kingdom or the European Economic Area you may ask us to confirm what we hold about you, provide a copy of it, correct it, delete it, restrict what we do with it, or object to our handling of it altogether. You may also ask us to send it to you in a portable format, although in practice this will be a short email thread you already possess.

Write to [email protected] and we will answer within one month. We charge nothing for this. If you are unhappy with how we have responded, you may complain to the Information Commissioner's Office, the UK supervisory authority, whose contact details are published on their own website.

8. Children

The site is written for adults and reviews games that are frequently rated for adults. We do not knowingly correspond with anyone under sixteen, and if we learn that a message came from a child we delete it rather than reply.

9. Security

The site is served over HTTPS. The mailbox is protected by two-factor authentication and is accessible to three named people. We are three volunteers rather than a security department, and while we take reasonable measures we cannot promise that any system is impregnable. Please do not send us anything genuinely sensitive; there is no reason a note about the fifty-second minute of a video game should contain it.

10. Changes to this policy

When this page changes materially we update the revision date at the top and note the change in the next published log, so that regular readers see it in the ordinary course of reading the site. Older versions are kept on file and can be requested by email.
